Event Manager (f/m/div)
The European Centre of Excellence for Civilian Crisis Management e.V. (CoE) is looking for an Event Manager (f/m/div) in full-time. The position is initially limited to two years with the possibility of extension by mutual agreement. The place of work is Berlin. The position is foreseen to be filled as soon as possible.
The Berlin-based CoE was opened in September 2020 during the German EU Council Presidency upon the initiative of the Federal Foreign Office. The CoE is a service provider for EU Member States and EU institutions and services, especially the European External Action Service (EEAS), supporting them in their efforts to strengthen civilian crisis management capabilities. It is a knowledge hub for the collection and exchange of national models and experiences ("good practices") and for the development of concrete ideas and practices on how European civilian crisis management can be further developed. The CoE currently has 23 members, all of them EU Member States, and two "preferred partners", the EU represented by the EEAS and NATO, represented by its International Staff. The team of the CoE consists of core staff as well as personnel seconded to the CoE from its members.
Under the overall supervision of the Director, the Event Manager is assigned to the Head of Director’s Office. It is a core staff position.
The main tasks of the Event Manager are:
- Leading event and invitation management of CoE workshops, high-level meetings and otherevents hosted by the CoE, and in cooperation with partner organisations across virtual,hybrid, and in-person formats
- Ensuring thorough preparation, coordination and smooth execution of events (i.a.developing and keeping track of timelines, researching venues, engaging suppliers and/ orcaterers if needed, managing all necessary logistics for successful event executions)
- Conducting post-event evaluations
- Acting as first point of contact for CoE colleagues, members as well as other stakeholders ofthe CoE for the events
- Coordinating and liaising with all external stakeholders as appropriate
- Advising colleagues and the CoE’s stakeholders on event management methodology andformats if requested
- Expanding the CoE’s event management toolbox, e.g. by conceptualising innovative andparticipatory event formats and methodologies
- Contributing to internal planning processes with regards to Event Management
- Planning cost calculation and budget monitoring for events
- Willingness to travel to European Member States (especially Brussels) occasionally
- Carrying out other tasks as necessary
Required profile:
- Bachelor’s degree and at least two years of work experience in event management
- Experience in organising high-level formats of virtual, hybrid and in-person events
- Experience in coordination of and liaison with partners and external service providers andability to negotiate with the latter
- Demonstrated project management experience with excellent coordination, planning andforesight as well as time-management skills
- Understanding of working with public funds (e.g. German law on grants, Federal TravelExpenses Act and other) and prior work experience in the public sector is desirable
- Proven expertise in hosting online and hybrid events (esp. on MS Teams, Webex and Zoom) with both efficiency and creativity, along with the ability to offer guidance to stakeholders on these formats
- Proficiency in working with Microsoft Office 365
- Strong team and communication skills including high political and intercultural sensitivity anddiplomatic skills
- Structured and independent way of working
- Stress resilience and ability to perform under time pressure with a focus on solutions andapproaches for applicability
- Demonstrated gender awareness and sensitivity, and an ability to integrate a genderperspective into tasks and activities
- Excellent command of written and spoken English, conversational German would be an asset
- General knowledge of European policy issues, especially civilian CSDP, and experience inworking with EU Member States is considered a strong asset

- Maximum pay grade for this position is E11/1-2 TVöD, depending on qualifications andexperience. The CoE as a recipient of institutional funding from the Federal Government is bound to not exceed the conditions of the collective agreement for the public sector (TVöD Bund). Pay grade and tier level are based on qualifications and relevant experience as predefined in the TVöD and are non-negotiable
